Before the Migration

Before your campus mailbox is migrated to Microsoft Office 365, you'll receive a general awareness email about the planned move. Please consider the following three items to help prepare for a smooth migration:

  • Log into CSULB SSO at least once before the migration: If you have never logged into CSULB Single Sign On (SSO), please visit https://sso.csulb.edu and log in.  Logging in to CSULB SSO at least once before your migration will help with a smooth O365  configuration and synchronization.
  • Beware of email phishing schemes:  We expect an increase in email phishing attempts to coincide with our campus O365 email migration, designed to trick you into divulging your university or personal email credentials. We urge you to be cautious, and never click unknown links in emails you receive. Never provide your personal or financial information to anyone who solicits this information by phone or email. Please visit the campus phishing reports page to confirm current known phishing attempts. You may also forward suspicious email to alert@csulb.edu.
  • Update Outlook software on your personally owned desktops/laptops to ensure compatibility: If you use an email client on your personally owned computer(s) to access @csulb email, ideally, you should install Outlook 2016 for Windows or Mac to access your email. (At the very least, make sure your computer(s) have Outlook version 2010 with the latest patches or a higher version installed on it.) All active employees can download Office 2016 on personal devices through the campus' Office 365 contract.  More information on how to download Office 2016 for personal devices can be found on the Office 365 service page.

During the Migration 

During the migration the contents of your email account will be migrated, including email, rules, calendar data, and contacts.  While we don't anticipate any service impact while the migration is taking place, it's possible you may experience intermittent email slowness or disruption.  

After the Migration

Once the migration of your email account is complete, the system will notify you in various ways depending upon how you access email. More information on what to expect can be found below.  Your @csulb email address will remain the same, and the migration itself will not require a BeachID password change. Your @csulb email messages, attachments, folders, rules, calendar items, and contacts will be migrated. The actual migration should have no effect on email messages coming or going into your @csulb account.

Depending on the methods you use to access your @csulb email, you may experience the following:

  • Outlook email client (Windows or Mac, Personal or University-Owned desktops & laptops):  A notification box will appear letting you know a change has occurred to your mailbox.  Simply close the dialogue box and restart your Outlook email client. This may happen multiple times.  More information on what to expect can be found in the article Outlook Email Client Post Migration Notification.

  • Outlook on the web (also known as Outlook Web App, OWA, webmail):  If you're logged in when your email account completes the migration process, you'll encounter a notification box indicating that you will need to refresh your browser. Upon refreshing your browser, or first access after the migration, you'll notice there are a couple more steps required to access your email mailbox.  The extra steps will continue through the end of January, after which a single step process will be restored.  You will be required to complete an initial setup the first time logging in to OWA.

    To simplify your login experience, a new "Outlook" chiclet (link) in SSO will be available to you to access Outlook on the web.

  • Mobile/Tablet devices (Android, Apple iOS):  Mobile devices including cell phones and tablets are anticipated to continue to function normally; however, your device may fail to synchronize email or present a box to reenter your credentials.  If this happens, please remove your email account from your mobile device/tablet and then add it back.  Instructions can be found here:

You may notice more O365 cloud-based services available to you, and for some users there may be a learning curve to explore and understand how to use these different services. There is no requirement to use these features; they're simply available to you if you choose to use them.
