Introduction

CSULB Mailing Lists allow faculty and staff to communicate to groups of people for various academic and administrative purposes, such as campus or college newsletters or as a moderated or unmoderated discussion group. The list size can range anywhere from a few students and faculty to hundreds or even thousands of campus community members.
At CSULB, there are two types of em ail lists: Distribution Groups and Mailing Lists.

  1. Distribution Groups (Microsoft Exchange): this source is most suitable for communicating solely with recipients that have "@csulb.edu" email addresses. This is the most common list used by departments and colleges on campus for interoffice communications because all campus employees receive "@csulb.edu" Microsoft Exchange email accounts upon hire.
  2. CSULB Mailing List (LISTSERV): this source is most suitable when members of the list contain non-campus email address (non csulb.edu), such as those from other universities or third-party consumer email systems, such as Gmail and Yahoo.

    Requesting a Mailing list

    Campus Technical Coordinators can request an email list by submitting a Support Ticket. General faculty or staff members can contact your college or department technical coordinator to help you coordinate a request.
    The following information is required to request a list:

1. Type of mailing list needed

Moderated List: emails to a moderated list are subject to approval by a moderator. Once approved, messages to a moderated list will be received by all list members. Owner adds subscribers; subscription requests are sent to the owner. Owners and moderators receive subscriber messages and determine whether they will be posted to the list; list subscription is available to those approved by a list owner.

Unmoderated List: emails to an unmoderated list are not subject to approval and will be received by all list members once sent. Owner adds subscribers; subscription requests are sent to the owner. Anyone can post messages directly to the list.

Discussion List: emails to a discussion list are not subject to approval and will be received by all list members. Subscription is available by owner invitation only.

Announcement List: the owner(s) and/or editor(s) of the list are the only people who are allowed to send messages to the subscribers. The communication flows one way – from the list owners to the list subscribers. This type of list is primarily used for newsletters, product announcements, and dissemination of information that does not require feedback from the subscriber.

2. Mailing List Name – with a naming convention of DEPARTMENT-Function@list.csulb.edu (i.e., ITS-DesktopSupport@list.csulb.edu)

3. Owner information - Full name and campus ID of primary and secondary owner. By default, campus techs will be added as secondary list owner for technical support purposes.

Words reserved by the system and not allowed in a list name are:

    • *-request
    • *-search-request
    • *-server
    • *-signoff-request
    • *-subscribe-request
    • *-unsubscribe-request


Logging In

Mailing list owners can use the L-Soft interface to manage their lists. To login to the interface, visit http://list.csulb.edu and login with your BeachID username and password.

Getting to Know the Interface

The Dashboard

The Dashboard is the primary tool for navigation through the interface. By default, the following columns are displayed. Also note that if you browse away and need to quickly navigate back to The Dashboard, you can click the "CSULB LISTSERV" graphic on the gold toolbar at the top of any page.

Reply to

Indicates whether the "Reply-to:" tag should be preserved or discarded and, if discarded or omitted, what should be placed as the new "Reply-to:"

Add or remove mailing list moderators.

Editor

Add or remove mailing list editors.

Preferences

The preferences link is located on the upper right hand corner of the gold tool bar. Use preferences to change the "Mode" or increase font size. Click Update to save any changes.

Dashboard Options

Subscribers

List owners manage subscribers for all lists. Add or delete subscribers to the list from the List Dashboard. Find the list you want to add a subscriber to, click View under "Subscribers". In the "Add Subscriber" field, type the user's email address followed by a space and an asterisk (star) and click Add Subscriber.

To add a batch of subscribers (plain text file only), click the Bulk Operations link. Select the preferred "Function" (add new subscribers to existing group, delete existing group, etc), click Browse to locate the text file and click Import. An import confirmation message will appear above.
Mailing lists can also be nested within a list. To add a sublist, from The Dashboard, click the Configure link > Distribution Tab and enter the name of the sublist in the Sub-Lists field and click Save.

To delete a subscriber, from the Dashboard, click "View" under the "Subscribers" column. Check the box next to the names you'd like to delete and click the "Delete Selected Subscribers" button at the bottom left of the page. Click Submit.

Subscription Settings

Use subscription settings to control if automatic (Open), approved (By Owner) or no subscription (Closed) is allowed.

Open
= Anyone can subscribe, no approval necessary.
By Owner = Only an Owner can add subscribers.
Closed = New subscribers cannot be added.

Attachments Settings

Use Attachment Settings to control whether attachments are allowed and if so, what file type(s). Make changes and click Save to save settings.

Send Settings

Use the Send Settings to control who - if anyone - can send to the mailing list (Note: if the list is a moderated list, anyone may send, but the message will still need approval by a Moderator.). The most commonly used sender types will be: "public" or "editor", unless it is a closed list in which case this would be set to "Private".

Reply to

Use the 'Reply to' setting to force who replies are sent to (list, sender, etc.). The sender's email will display in the "from" field of the original email and the full list address will display in the "to" field.

List - Replies are directed to the list address.
Sender - Replies are directed to the original sender.
Both - Reply to both the original sender and to the list.
None - No Reply is sent.
Specify - Replies are directed to the specified email address.

Owner

List owners can add or delete subscribers and change list configuration settings. To add or delete list owners, click Edit under the Owner heading, enter the owner's email address in the Owner field and click Save.

Configuration Owners

In situations where certain people will manage subscribers and others will manage the list configuration, a Configuration Owner can be created. A configuration owner has access to modify the list configuration settings while all other owners have access to add or delete subscribers only (not change the list configuration).
To request a Configuration Owner, submit a ticket to Desktop Support.

Moderator

List owners manage moderators for all lists. A moderator approved messages to be sent in a Moderated list. To add a Moderator, click Edit under the Moderator heading, enter the moderator's email address in the Moderator field and click Save.

From the dropdown, select All to send messages needing moderation to ALL moderators. Select Round-Robin to send to moderators one at a time, in a particular order.

Editor

List owners manage editors for all lists. Editors can send a message to a moderated list without needing approval. To add an editor, click Edit under the Editor heading, enter the editor's email address in the Editor field and click Save.

The Configure and Tasks links on the Dashboard contain some of the more advanced list settings.

Subject Tags


A subject tag is text that appears in the beginning of an email subject line wrapped by brackets and in all caps. This information is helpful for subscribers to easily search for or filter mail received from a list. Mailing lists migrated from CGP will retain the subject tag header. If there is no subject tag currently set, the default will be the name of the list.
To define a Subject Tag, from the Dashboard, click the Tasks > Subject Tags tab. In the Subject-Tags field, enter the tag and click Save.

To turn off the subject tag option, use the following steps:

  1. From the List Dashboard, click the "Configure" link.
  2. To the right of the "Complete List Header" window, click the "Edit Manually" link.
  3. Default-Options should equal "REPRO,NOACK" (delete ",IETF")
  4. Misc-Options should equal "UTF8_HEADER" (delete ",IETFHDR_SUBJECT_TAG")
  5. Click Save.
  6. From the List Dashboard, click the "View" link under "Subscribers".
  7. In the report columns area, check the box next to "Header Style" and click "Update".
  8. Click the "Check All" link to select all subscribers. Under "Header Style", in the dropdown, select "Full" and click "Submit". The header style should change to "Full" for all subscribers.
Top and Bottom Banners (Header and Footer)
  1. To add a top or bottom banner, from The Dashboard, click Tasks > Banners tab.
  2. To include a top banner, click TOP BANNER HTML, type the header information in the Contents field and click Update.
  3. By default, the BOTTOM BANNER HTML contains an unsubscribe link. You can delete this link by deleting the text in the BOTTOM BANNER HTML 'Contents' field or create a new one.

List Moderation

It is suggested that list moderation be handled directly through the email. However, if a moderator would like to use the L-Soft interface, it is possible. Upon login, a moderator will see any mailing lists currently required moderation.


Lists on Hold


List owners can free their list if it is placed on hold by the LISTSERV server.  They just need to send an email to the command address (listserv@list.csulb.edu) with “free listname (name of the listserv list)” in the body of the email.

The Distribution tab contains the keywords that determine the method of distribution for list message.

Daily-Threshold – Use this keyword to limit the number of postings that may be processed by the list in a calendar day (midnight to midnight, server time), and, with the addition of an optional second parameter, limits the number of postings that may be accepted from any individual user per calendar day (midnight to midnight in the server's local time zone).

The default is 50. When the value of the first parameter is reached, the list is automatically placed on hold, and the list owner or LISTSERV maintainer must issue the FREE listname command.

Note: It may or may not be advisable to increase this parameter for higher-volume lists – individual list owners should study the issue carefully before increasing the daily threshold of their high-volume lists.

When the value of the optional second parameter is reached by an individual user, the user is told that their posting will not be processed and that they should resend it later if they still want it to be posted. The list itself is not held in this situation. The default is to have no such limit, in which case the second parameter is not defined. List owners and list editors are exempt from the individual daily limit. There is no command to reset the limit for an individual user, although the list owner may update the header to increase the value.

To log out, click the Log Out link on the upper right hand side of the toolbar.
